REMone Work Order Management Platform

REMLogics, LLC ("REMLogics", "we", "us", or "our") is committed to protecting the privacy and security of the information we collect through our REMone Work Order Management platform and related services (collectively, the "Service"). This Privacy Policy explains what information we collect, how we use it, who we share it with, and your rights regarding your information.


By using the Service, you agree to the collection and use of information in accordance with this policy.


1. Who This Policy Applies To

This policy applies to:

  • Property management organizations and their staff who use the REMone internal staff application

  • Building tenants who interact with the REMone Tenant Portal

  • Vendors and contractors who use the REMone Vendor Portal

  • Visitors to remlogics.com


2. Information We Collect

We collect the following categories of information in connection with the Service:


Account and Identity Information:

  • Staff user names, email addresses, and hashed passwords

  • User roles and access levels

  • Authentication records including login timestamps and IP addresses


Property and Operations Data:

  • Property details including names, addresses, descriptions, and configuration

  • Work order information including descriptions, status, priority, notes, attachments, and photos

  • Asset records including equipment details, maintenance history, and associated documents

  • Floor and unit information associated with managed properties


Vendor and Contact Information:

  • Vendor company names, contact names, email addresses, and phone numbers

  • Vendor insurance certificates and related compliance documents

  • Tenant names, contact details, and service request history

  • Employee and contact records for property assignment purposes


Lease and Financial Data:

  • Lease terms, dates, and associated contact references

  • Property financial attributes entered by authorized staff


Technical and Usage Data:

  • IP addresses, browser type, and device information collected during login and application use

  • Application performance and error telemetry collected via Azure Application Insights

  • Security event logs including login attempts, MFA events, and session activity


3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the REMone Service

  • Authenticate users and enforce multi-factor authentication security requirements

  • Enable work order creation, assignment, tracking, and completion workflows

  • Support AI-powered work order intake triage using Azure OpenAI

  • Send notifications and updates related to work orders and service requests

  • Detect, investigate, and prevent security incidents and fraudulent activity

  • Comply with legal obligations and enforce our terms of service

  • Improve and develop the Service based on usage patterns


4. How We Share Your Information

We do not sell your personal information. We share information only in the following circumstances:


Service Providers and Subprocessors:

We use the following trusted third-party service providers to operate the Service. Each is bound by data processing agreements and appropriate security obligations:


  • Microsoft Azure — cloud hosting infrastructure, Azure App Service, Azure SQL Database, and Azure Key Vault (United States East and Canada Central regions)

  • Azure OpenAI — AI-powered work order intake triage and analysis. Work order descriptions may be processed by Azure OpenAI to assist with categorization.

  • Azure Application Insights — application performance monitoring and error telemetry

  • Oracle — enterprise resource planning integration for applicable customer deployments

  • Microsoft Dynamics 365 — CRM and operations integration for applicable customer deployments

  • Proptech platform integrations — property technology integrations as configured per customer deployment

  • Additional integration partners may be added as the Service expands. Customers will be notified of material changes to subprocessors.


Customer-Directed Integrations:

Some customers configure integrations with third-party systems such as Angus (work order management), Oracle, or Dynamics 365. Data shared through these integrations is governed by the customer's agreements with those providers.


Legal Requirements:

We may disclose information if required to do so by law or in response to valid requests by public authorities such as a court order or government agency.


Business Transfers:

In the event of a merger, acquisition, or sale of assets, customer data may be transferred as part of that transaction. We will provide notice before your data is transferred and becomes subject to a different privacy policy.


5. Data Storage and Security

All customer data is stored on Microsoft Azure infrastructure in the United States East or Canada Central region, depending on the customer's deployment configuration.


We implement the following security controls to protect your data:

  • Transparent Data Encryption (TDE) on all Azure SQL databases — data encrypted at rest

  • HTTPS enforced on all application endpoints — data encrypted in transit

  • Azure Key Vault for all application secrets — no plain text credentials stored in application configuration

  • Multi-factor authentication (TOTP) required for all staff logins

  • Account lockout after repeated failed login attempts

  • Security audit logging of all authentication events

  • Session invalidation on password change


6. Data Retention

We retain customer data for the duration of the active service agreement. Upon contract termination:

  • Customer data is retained for 30 days following the termination date

  • During this period, customers may request a data export

  • After 30 days, customer data is permanently deleted from all production systems

  • Backup copies are purged in accordance with our standard backup rotation schedule

  • Customers who require a different retention period may request alternative arrangements in writing prior to contract termination


Security audit logs and anonymized usage analytics may be retained longer for legal, compliance, and operational purposes.


7. Your Rights

Depending on your location, you may have the following rights regarding your personal information:

  • Access — request a copy of the personal information we hold about you

  • Correction — request correction of inaccurate or incomplete information

  • Deletion — request deletion of your personal information, subject to our retention obligations

  • Portability — request your data in a portable, machine-readable format

  • Objection — object to certain types of processing

8. Cookies and Tracking

The REMone application uses session cookies solely for authentication and security purposes. We do not use advertising cookies, cross-site tracking, or third-party analytics cookies. Azure Application Insights may collect anonymized telemetry data to monitor application performance.


9. Children's Privacy

The Service is designed for use by business professionals and is not directed at children under the age of 13. We do not knowingly collect personal information from children.


10. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify customers of material changes by email or through a notice within the Service at least 30 days before the changes take effect. The current version of this policy is always available at remlogics.com/privacy-policy.
