Data Retention Policy
REMone Work Order Management Platform

This Data Retention Policy describes how REMLogics, LLC ("REMLogics") retains, manages, and deletes customer data in connection with the REMone Work Order Management platform (the "Service"). This policy applies to all customers who access the Service under a REMLogics service agreement.
1. Data Categories and Retention Periods
Active Service Data:
All data entered into the Service during an active subscription is retained for the full duration of the service agreement. This includes:
Work orders, notes, attachments, and photos
Property, floor, unit, and asset records
Vendor, tenant, and contact records
Lease and financial data
User accounts and access records
Post-Termination Retention:
Upon expiration or termination of a service agreement, customer data is retained for 30 days (the "Retention Period"). During this period:
All data remains accessible to authorized customer administrators
Customers may request a full data export at any time during the Retention Period
No new data may be entered after the service termination date
Permanent Deletion:
After the 30-day Retention Period expires, REMLogics will permanently delete all customer data from production systems. Deletion includes:
All database records associated with the customer tenant
All uploaded files, attachments, and images
All application configuration specific to the customer
Backup copies are purged in accordance with our standard backup rotation (maximum 35 days)
Security and Audit Logs:
Security audit logs (login events, MFA events, access records) may be retained for up to 12 months for security investigation and compliance purposes, even after customer data deletion. These logs are anonymized where possible.
2. Extended Retention Arrangements
Customers who require a retention period longer than 30 days must:
Submit a written request to support@remlogics.com prior to the service termination date
Specify the required extended retention period
Agree to any applicable fees for extended data storage
Extended retention arrangements must be agreed upon in writing before the standard 30-day period begins. REMLogics cannot guarantee data recovery after the standard Retention Period has expired without a prior written agreement.
3. Data Export
Customers may request a data export at any time during their active subscription or during the 30-day post-termination Retention Period. To request a data export:

Include your organization name and the scope of data requested
REMLogics will provide the export within 10 business days of the request
Data is exported in standard formats (CSV, JSON) unless otherwise agreed
4. Data Storage Location
Customer data is stored on Microsoft Azure infrastructure. Storage regions are:
United States: Azure East US region
Canada: Azure Canada Central region
The storage region is selected based on the customer's deployment configuration and data residency requirements. All data for a given customer remains within their assigned region.
5. Backup and Recovery
REMLogics maintains automated backups of customer data to protect against data loss. Backup retention:
Daily backups are retained for 7 days
Weekly backups are retained for 35 days
Backups are stored in the same Azure region as the primary data
Backup data is encrypted using Azure SQL Transparent Data Encryption
Backups are used solely for disaster recovery purposes and are not accessible to customers directly. Customers requiring point-in-time data recovery should contact support@remlogics.com.
6. Legal Hold
In the event of litigation, regulatory investigation, or other legal proceedings, REMLogics may be required to preserve certain data beyond the standard retention periods. In such cases, REMLogics will notify affected customers where legally permitted to do so.
7. Third-Party Integrations
This policy applies to data stored within the REMone platform operated by REMLogics. Data that has been transmitted to third-party systems via customer-configured integrations (such as Oracle, Microsoft Dynamics 365, Angus, or Proptech platforms) is subject to the data retention policies of those respective systems. Customers are responsible for managing data retention within third-party systems they have connected to REMone.
8. Policy Updates
REMLogics may update this Data Retention Policy from time to time to reflect changes in our practices or legal requirements. We will notify customers of material changes at least 30 days before they take effect. The current version of this policy is available at remlogics.com/privacy-policy.
